The
software application in which the various human resources functions such as
administration, payroll, recruitment, training, performance analysis and
reviews are combined as a single package is called hr management system or
HRMS. Human resources management and information technology together make the
foundation for HRMS. In this system the fundamental hr activities as well as
processes are merged with information technology. Just as in the cases of all other
functions, the hr management is also subjected to revolutionary changes as a
result of rapid technological advancements. In earlier days there were
individual systems with single tasks such as the Payroll
Management System, the performance analysis system, etc. Today, there
are integrated systems that cover the entire tasks associated with the human
resources departments. The tasks of these systems also include improving
process efficiency, organizational hierarchy management and all types of
financial managements. The latest systems are developed in such a way that they
meet the requirements of the hr department which has a very complex role in the
organization.
Functions of the present-day HRMS
The
human resources department of an organization is entrusted with the tasks of
tracking employee histories, abilities and skills, salaries and the
accomplishments. In order to reduce manual work as well as get rid of the
complicated processes, the organizations started to replace these processes
with HRM systems. The integrated systems for the individual HR departments were
developed and implemented either by IT professionals of the same organization
or by third party vendors. The system comprises of various modules with each
module having a specific function. Payroll management, attendance records,
employees information database, performance evaluation, benefits
administration, learning and recruiting, employee schedule, employee
self-service, tracking of absenteeism and Analytics are the various functions
that are performed by the latest HRM systems.
The
HRMS makes use of the software from Oracle or People Soft. The self-service
portal of this system enables the employees to view the information pertaining
to them and their payroll. In the self-service portal, the employees can update
their contact information like phone numbers and email addresses.
Various components of the HRMS
The
HR Management
System of an organization will be having various components. For
example the HRMS of a particular organization has the modules such as employee
data, position management, Recruit management, ePAF, Workflow, Reports &
Data and HRMS Forms and Manuals. The Employee Data module provides data about
the employees. The Position Management module enables tracking of existing positions
and creation of new positions. The eRecruit module is used to create job
openings and to hire the successful candidates to the positions. The
departmental administrators use the ePAF module for submission of hires,
terminations and job changes to human resources as well as Payroll. The
Workflow module is for electronic approval of all the transactions that were
made using the HRMS. The Reports & Data module enables the system to
generate standard reports whenever required.
Developing the right HRMS
Today
it is all the more important for a company to develop and implement its own
human resources management system. Though all the functions performed by the
HRMS can be manually done, when there is an automated system, the staff of the
HR department gets sufficient time to prepare and maintain the data that is
used by the system. Since each company is different, they have to choose the
right system.
